Job location: San Antonio TAMUSA Employment Type: Full-time Posted data: 2020-07-08 Req: R-030891 Job TitleAdministrative Associate VAgencyTexas A&M University - San AntonioDepartmentDepartment Of Management And MarketingProposed Minimum Salary$14.89 hourlyJob LocationSan Antonio, TexasJob TypeStaffJob DescriptionUnder the supervision of the Department of Management and Marketing Chair, the Administrative Associate V will be responsible for the day-to-day office duties and will provide highly skilled administrative support.This position typically works Monday-Friday; 8 a.m. - 5 p.m. The Administrative Associate V may work beyond normal office hours to include evenings, weekends, and peak times when necessary.Responsibilities:Coordinate daily office support activities and administrative interactions. Assist in the coordination of daily workflow and the resolution of complex, highly sensitive, and confidential matters. Provide organizational planning and problem-solving skills.Maintain a variety of fiscal, administrative, and academic records. Verify, process, and reviews forms, reports, tables, and other documents. Perform special analyses and project summaries.Type, file, answer phones, schedule meetings, provide customer service to students, faculty, and staff.Maintain personnel files and records, screen calls and take messages, handle correspondence, and prepare reports.Assist faculty with their academic responsibilities, inventory control, coordinate, and prepare university and accreditation compliance documentation.Manage department communications using various communication/ media mechanisms.Manage and coordinate student workers assigned to the department.Assist in creating travel requests and vouchers; reconcile travel cards and procurement cards, maintains office equipment, and assist in acquiring equipment and supplies.Assist in the hiring process of various departmental hires.Provide excellent customer service to students and faculty.Performs other duties as assigned.This document represents the major duties, responsibilities, and authorities of this job, and is not intended to be a complete list of all tasks and functions. Education and Experience:High school diplomaFive years of related experienceKnowledge, Skills, and Abilities:Proficient in the use of typical Microsoft Office software -word processing, spreadsheet, presentation graphics, database, and the Internet.Effective communication skillsAbility to work cooperatively with others and provide excellent customer service to students, employees, and the community.Excellent organization and time management skills.Knowledge of word processing, spreadsheet, and database applications.Strong organizational skills and time management.Ability to multitask and work cooperatively with others. Excellent written communication, analytical, interpersonal, and organizational skills. Ability to work in a high-stress environment. Ability to work with sensitive information and maintain confidentiality.
