Job Description Job Description Position Purpose: The Office
Administrator position provides professional administrative support
to the Service Center management team; is responsible for
organizing and coordinating Service Center office operations and
procedures. Key Responsibilities Provide administrative support for
the Service Center office. General office duties to include answer
main office line, distribute inbound mail and packages, and
replenish office supplies. Coordinate office visits by customers
and other IFCO personnel. Coordinate internal communications.
Prepare presentation materials in advance of meetings as needed.
Schedule and plan meetings business lunches/dinners, and travel;
responsible for appropriate calendar updates. Maintain and protect
issues of privacy and is seen as a role model for others in
maintaining confidentiality. Ensure meetings and conferences are
properly organized and appointed about audio-visual equipment,
travel arrangements, deposits, and expense reports, as well as
distributing related materials prior to the function. Perform a
wide variety of documentation assignments including entering data
and drafting, editing, revising, and print correspondence, reports,
and other materials. Communicate to the staffing agencies the needs
of Service Center temporary staffing. Collaborates with all levels
of staff to promote employee engagement. Completes daily, weekly,
and monthly reporting including, but not limited to, payroll, time
& attendance timekeeping for temporary staffing. Review and approve
temporary staffing invoices. Review and approve suppliers'
invoices. Maintains supplies inventory by checking stock to
determine inventory level, anticipating needed supplies, placing,
and expediting orders for supplies and verifying receipt of
supplies. Maintains the office efficiency by planning and
implementing office processes to ensure maximum efficiencies and
minimal errors. Measures Successful completion of assigned
projects. Employees and manager feedback. Challenges High sense of
urgency for many requests. Must work with colleagues in various
time zones. Must work independently, set priorities, and maintain
accountability. Oversees projects across disciplines and
departments. Must work equally well with hourly labor and company
executives. Key Contacts Internal: General manager, Assistant
General Manager, Director of Service Center Operations, Service
Center Supervisors, HR, and employees External: Customers, Vendors
Qualifications High School diploma required Demonstrated
proficiency with a variety of computer software applications:
Microsoft Excel, PowerPoint, Outlook, Word, Adobe Pro, & Visio
Experience 2 years of office administration and/or supporting
executive. 2 years of experience working in a manufacturing
environment. Payroll experience preferred. Skills and Knowledge
Detail oriented and high degree of accuracy in work product. Proven
planning and organizational skills with the ability to handle
multiple priorities and time sensitive deadlines, in addition to
normal responsibilities. Excellent written and verbal communication
skills. Demonstrated successes in handling multiple high priority
projects, in addition to normal responsibilities. Demonstrates
adaptability, initiative, and willingness to take on new
challenges. Ability to work in a team environment. Computer
literacy required, including proficiency in standard business
applications including in Microsoft Office Suite. Knowledge of
SharePoint strongly preferred. Willingness and ability to
contribute to the development of the position and undertake
additional tasks as assigned by management. Languages Required:
