Additionally, this position serves as a customer service role that outwardly represents both the Finance and HR Departments.General Job ResponsibilitiesRespects and promotes the unique identity of each staff member, child and family and refrain from stereotyping by on race, color, creed, religion, gender, gender identity or expression, age, sexual orientation, genetic information, national origin, disability, veteran status, or any other characteristic protected by state, federal, or local law.Promotes and models the organization's Core Values.Maintains calendar, appointments, and correspondence, for the departments and other tasks as requested by the CFO/CHRO.Assist in sending regular reminders and correspondence to supervisors regarding payroll processing and timekeeping.Assists in preparing assigned audit schedules and gathering requested audit documents. Prepares the vendor checks for postage and mail. Organizes and maintains vendor files.Assists in researching and resolving vendor payment status, issues or other requests as needed. Assist in filing the Finance records to include journal entries, cash receipts, vendor records, etc.Assists in sorting the incoming mail and monitoring the HR and Finance email accounts. Prepares various reports and correspondence for the Finance and HR department, under the direction of the CFO and CHRO.Prepares HR and Finance check request, invoices, and P-Card expense reports.Maintains contact and correspondence with all volunteer/intern vendors and sponsors, as well as appropriate internal staff (i.e. manager, recruiter, finance, etc.).Processes all volunteer and intern requests.Ensures all volunteer and intern background checks and screenings are complete and clear before their placement at sites/offices. Maintains volunteer and intern records and stores them in the appropriate DocuWare cabinet.Provides administrative support with planning and coordinating various HR meetings, trainings, and events.Supports HR staff with employee benefits and regular benefit reconciliations.Supports HR staff in all HR related functions as needed (safety, recruiting, benefits, training, compliance, HR business operations, etc.).Participates in the monthly and annual records retention process.Maintains, in support of the CHRO and HR Manager, the Chapter's human resources records and related Human Resource Information System (HRIS).Files, faxes, types, copies, orders office supplies and other general office duties.Performs other tasks as directed. EducationRequired: High School diploma or GED.Preferred: Minimum eighteen (18) or more hours of related college coursework in Accounting/Finance or Human Resources or other related fieldBachelor's degree in Human Resources Management, Business Administration, Accounting/Finance or related field.Work ExperienceRequired: Minimum two (2) years' experience providing direct support to senior management. Preferred: Three (3) years of experience in a payroll processing position with at least one (1) year working with an automated AP system, and/or three (3) years of experience in human resources with at least two years' experience working with an automated HRIS and Payroll processing. Minimum of one-year experience in a non-profit setting. Additional Skills Required Excellent writing, editing and proofreading skills.Proficiency in MS Office software applications with intermediate skills using Microsoft Outlook, Word, PowerPoint and Excel, and Adobe Acrobat.Spanish fluency helpful, but not required.Demonstrated ability to achieve performance goals and meet deadlines in a fast-paced environment.Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.Emotional maturity.Highly resourceful team player.Forward-looking thinker, who actively seeks opportunities and proposes solutions.Ability to travel to various training sessions.Must have dependable transportation on a daily basis, valid driver's license, a clean driving record, current auto liability insurance and be bondable by AVANCE, San Antonio, Inc. Travel 5-10% annually on average.Equipment Computer, computer software programs and peripherals, resource materials and equipment, copier, fax, and other equipment applicable to the position. Working Conditions Mental and Physical Demands General office and sedentary. Regularly required to sit; use hands to handle or feel; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. Use of personal computing equipment. Maintain emotional control under stress; work with interruptions and deadlines; walking, standing, stooping, bending, pulling, and pushing; occasional: lifting/carrying, pulling/pushing 10-30 pounds. Work evenings and weekends as needed.Environmental Factors Occasional exposure to biological hazards (communicable diseases, bacteria, insects, mold, fungi, etc.). Occasional exposure to weather related conditions when working in outside environment/neighborhoods and events.
