**Summary****AJANTA CONSULTING, LLC**San Antonio, TXAjanta Consulting, LLC is seeking an experienced Office Administrator who possess excellent organization and communication skills that is proactive, resourceful and efficient, with a high level of professionalism and confidentiality. This role will support and work alongside a talented, humble and incredibly innovative team.The Office Administrator will be responsible for handling a wide range of administrative and executive related tasks who works independently with little or no supervision. The person in this role will manage the day-to-day calendar for multiple leaders and provide overall team support, such as accounting and record keeping as the organization grows in this fast-paced environment.**Responsibilities**+ Assists with initial setup of environment including basic setup, furniture arrangements, and office supply organization.+ Provides administrative support to staff which includes, but are not limited to, calendar management; screen, answer and route incoming calls to appropriate party promptly and efficiently.+ Schedule and organize calendar activities and organize activities such as meetings, travel and office activities.+ Directs visitors by maintaining employee and department directories; giving instructions.+ Manage incoming and outgoing electronic communications+ Maintains safe and clean reception area by complying with procedures, rules, and regulations.+ Enforces security by following set procedures for verifying identity and access, manage the visitor logbook, issue and reconcile visitor badges.+ Provides front desk functions to serve visitors by greeting, welcoming, and directing them appropriately; notifies company/program personnel of visitor arrival and maintains employee and department directories.+ Maintain all general administrative support functions to the office to ensure efficient utilization of time and resources.+ Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.+ Provide administrative support including telephone coverage, copying, faxing, supply control and internal and external communications.+ Manage office inventory including office and bathroom supplies and reordering as necessary or as requested by staff.+ Administer office operations and provide Chenega staff with appropriate documents and records.+ Prepare, assist and manage office wide events, briefings, and VIP visits.+ Assist in the preparation of briefings, program abstracts, summaries and analyses are required as well as standardizing briefing formats, weekly activity reporting and directory structures.+ Assist management team with purchasing cards, coding, expense reporting queries and follow-ups, daily time collection and other ad hoc activities as needed.+ Assist the company Program Controllers with invoice payment and processing as needed.+ Other duties as assigned**Qualifications**+ Associates Degree or 2 years of experience in administration, customer service in professional services or uniformed service; experience with acquisition process and terms.**Knowledge, Skills and Abilities:**+ Exceptional communication skills, both verbal and written with a full mastery of the English language including proper grammar and spelling.+ DOD and/or U.S. Air Force experience preferred+ Qualified to obtain, maintain to Secret clearance, if necessary+ Adept with telephone skills, Microsoft Office, listening, professionalism, customer focus, Organization, Informing Others, Handling Pressure, Task Management.+ Working knowledge of a variety of computer software applications such as Microsoft Word, Excel, Access, PowerPoint, SharePoint and Outlook.+ Basic knowledge of military protocol procedures+ On rare occasions, have the ability to work evenings, weekends or Holidays as required to meet business needs.+ Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.+ Ability to handle multiple assignments concurrently, balancing priorities to meet deadlines.+ Ability to work independently and as a team.+ Present a professional appearance and courteous demeanor necessary during interactions with customers, contractors and vendors.+ Must be able to present professionally to senior leadership and outside clients.+ SharePoint, Deltek, and Smartsheet knowledge a plus.+ Ability to maintain confidentiality and security when dealing with proprietary information and sensitive situations.**Physical Demands:** (The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
