SUMMARY - Kaeppel Consulting is in search of an Associate Registrar Systems for a client in the San Antonio, TX. area. This will be a contract position and salary will be based upon experience. This role will oversee the functionality and usage of Student Information Systems and the input and accuracy of the student data. Works as the Information Technology liaison while also enforcing University's policy and data standards. - Provides leadership to plan and implement projects that support the delivery of quality student support services and the goals of the department. - Assists the University Registrar in performing all tasks related to maintenance of student records for prospective, enrolled, and former students and manages the registration processes for all graduate and undergraduate students. - Works closely with the client company's faculty and staff to provide support services to students as they register for classes and pursue their academic goals at the University. -Responsible for ensuring that the office functions according to institutional policy in an efficient, service-oriented, and courteous manner. -JOB DUTIES - Essential duties, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills. - This is not a comprehensive listing of all functions and duties performed by incumbents of this class; employees may be assigned duties which are not listed below; reasonable accommodations may be made as required. - Requirements are representative of minimum levels of knowledge, skills, and/or abilities. - The job description does not constitute an employment agreement and is subject to change at any time by the employer. - Essential duties and responsibilities may include, but are not limited to, the following: - - - ----Produces and analyzes accurate, and often complex, reports for formulating administrative and departmental decision making. - Ensures data integrity and validity. - Provides data for federal compliance and reporting needs such as IPEDS, FISAP, NSC, SEVIS, ABET, AACSB and for internal purposes for awarding of scholarships, promotions and tenure, grant allocations, etc. - Creates custom reports to fulfill user requests in Informer. - Produces official University Census report. - ----Maintains Colleague Student system. - Manages all registration processes to include system set-up, registration controls and calendars, registration times, waitlists, course capacities, and advisor clearance. - Executes routine batch processes for updates such as class standing, class rank, federal cohorts, registration holds, and batch registration. - Ensures accuracy and correct data standards of all student, course, institution, and course equivalency data. - Updates VAL code tables as functionality requires. - ----Serves as Veteran Affairs School Certifying Official. - Conducts Veterans Administration certification and compliance. - Partners with Student Financial Services to ensure correct financial reporting to the VA. - Maintains accurate VA files. - Facilitates VA/TVC audits and annual approval process. - Counsels applicants, students, and parents on various VA benefits. - ----Executes new student record creation for all incoming students. - Oversees posting of all external credits, advisor assignments, FYE placements, registration times, and advisee records. - ----Assists the Registrar in planning and directing all functions of the Office of the Registrar, as well as assessing office productivity and streamlining operations for greater efficiency. - - - ----Supervises degree tracking/auditing and graduation certification of both graduates and undergraduates. Evaluate final degree audits and process degrees and honors for all graduates. - Participates in Commencement activities. - ----Supervises technologies utilized in the office to include Student Information Systems, imaging operations, transcript services, admit-to- student data set-up, reporting tools, and departmental webpage. - - ----Manages data processing and system training to promote consistent, accurate, and effective use of student information systems. - Ensures correct use of the system and serve as a resource for faculty members, advisors, and academic support staff with academic advising and system functionality. - Troubleshoots system issues for Colleague users across campus. - - - ----Serves as main contact for Readmission/Reenrollment for all former students wishing to return after one or more semesters of non-attendance. - - - ----Serves on University committees and perform other specific duties as assigned. - - - ----Provides data and assist with National Student Clearinghouse enrollment processes. - Executes Degree Verify report following conferral of degrees. - - - - - - - - - - - -ADDITIONAL DUTIES -

Complies with all the client company's policies and guidelines. Performs other duties as required. -EDUCATION - Required: Bachelor's degree from four-year college or university. Preferred: Master's degree or equivalent from four-year college or university. -EXPERIENCE - Required: Three or more years of administrative experience at the post secondary level or equivalent educational background in higher education enrollment or student services. Preferred: Direct management experience with student records and registration. -KNOWLEDGE, SKILLS, AND ABILITIES - Required: Knowledge of the University's regulations and procedures. Knowledge of Applicable state and federal laws, including FERPA. Knowledge of Database construction, management, and retrieval techniques. Knowledge of Student Information System procedures. Knowledge of VA Certifying Official regulations. Ability to manage the computer system applications relating to online student records processing (Colleague). Ability to utilize software packages including Microsoft Office. Ability to oversee implementation of technology projects. Ability to organize and prioritize work. Skill in developing, implementing and communicating policy and procedure. Frequent calculating, interrupted work, variety of interrelated tasks, sustained concentration, use of reasoning, judgment, resourcefulness, analytical ability and ingenuity. Ability to exhibit a courteous and approachable demeanor that will encourage others to make any requests they believe necessary. Ability to work together with office staff and managers in a professional and team-oriented manner.
